Mission of Julia Taylor’s Executive Assistant

The mission of the Executive Assistant is to serve Julia Taylor primarily, and the GeekPack® team, secondarily, by protecting, preparing, and participating in focused, strategic work as well as rejuvenating rest.

The GeekPack® team is a small but highly productive group that are primarily responsible for serving WP Rockstar Students, the GeekPack® Community & the Screw the Commute Community. The small size of the team, combined with the complexity of cross-functional collaboration internally and managing a quickly growing brand externally create the need for ongoing operational, administrative support, and collaboration.

Job Description

As the GeekPack® team continues to grow, we are bringing onboard an Executive Assistant who can commit to us long-term and is interested in investing themselves in our business and team.

This role is a bit of a Jill-of-all-trades (or Jack) as we’re looking for a multi-talented “rockstar” to become an integral part of this team. 

This is ONE role, which is the perfect fit for someone who loves to take on whatever is thrown at them in terms of supporting Julia and the team and ensuring that the business runs smoothly, doesn’t shy away from a challenge, takes great pride in their work and can see the bigger picture that they’re facilitating.

The specific tasks that make up a given day in the life of this Executive Assistant will change from day-to-day based on the needs of the CEO and the GeekPack® team, but will generally be accomplished under direction from Julia or Beth, the COO, through the areas of responsibility below:

  • Email management: Organize emails into the necessary action folders, replying to customer support emails & unsubscribing from/removing spam emails.
  • Task management: Monitor incoming task requests for CEO, and work closely with her to clearly keep up with priorities and deadlines as they fluctuate based on the needs of the business and progress from key partners.
  • Calendar management: Manage all incoming & outgoing scheduling requests along with an “Ideal Week”, to keep Google Calendar updated with a complete and accurate picture of daily meetings, appointments, and protected focus time.
  • Customer service: Monitor live chat on our website, handle payment issues/requests. 
  • Course management: Adding/updating content in membership area, creating FB event banners, organizing experts for GeekPack, testimonial management.
  • Meeting & event preparation: Ensure all scheduled meetings have a prepared agenda, location, and any related resources ready and available before the actual meeting begins. 
  • General administrative tasks: Paying invoices, transcription, order swag, research/order gifts, proofreading, Google Drive organization, etc.
  • Personal tasks & travel support as needed by the CEO

Requirements:

  • You have a high level of flexibility: With the nature of the CEO’s role as the primary leader of the WP Rockstar Program and the GeekPack® community, things can change very quickly for her on a regular basis. Her EA needs to be someone who is very flexible, adaptable, responsive, and not easily flustered by a change of plans.
  • You anticipate needs: As a part of our commitment to enabling our CEO to serve our company, WP Rockstar students, and GeekPack® community members at the top of her game, our EA will strive to anticipate needs and eliminate friction at work and home whenever possible. This means you know how to stay five steps ahead of your leader, clearing the path for her to make her greatest contribution.
  • You are solution oriented: This person will know there are many roads that lead to the destination, but will be focused on the best solution for the problem at hand.
  • You are an excellent communicator: The EA must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis. You must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include in-person meetings, virtual video calls, Slack messages, text messages, Voxes, and/or emails.
  • You can maintain a high level of discretion: Since our EA will regularly work with confidential information and occasionally high-profile individuals, discretion and sensitivity regarding confidential information is a must.
  • You have a positive attitude: Our executive assistant will have a can-do spirit, is fun to be around and does not complain, make excuses, or gossip.
  • You work well with a team: This EA role will work closely with other GeekPack® team members and will need to be able to collaborate and communicate well with them.

Nitty Gritty Job Details:

  • Starts ideally December 2020
  • Part-Time, hourly (high potential to grow to a full-time opportunity)
  • Eastern, Mountain, Central and Pacific time zone based applicants only
